This article outlines a high-converting 20-minute consultation call framework designed to help your admin team confidently guide prospective clients from their initial inquiry to booking their first session. The framework is based on the Consult Call Script Template, which serves as the foundation for every consultation call.

How to train your admin on the consult call script and structure can be found here: How to Train Your Admin to be Successful on Free Consults

Consult Call Structure (20-Minute Total Flow)

The First 15 Minutes: Problem, Goals & Buy-In

Source Tracking: Start by asking, "Before we dive in, I'd love to know how you heard about us?" Even if asked on a contact form, capturing this accounts for those who booked via phone, email, or online booking. Manually log this in ClinicMonk™ to generate accurate marketing reports.

Agitate the Problem: Ask, "Tell me a little bit about what you are going through right now?" Stay here for a bit so they feel the discomfort of their pain. People default to the status quo, so agitating the problem encourages action. Ensure the prospective client talks more than the admin to build engagement.

Create the Gap: Say, "An important part of therapy is having a goal that we can work on together. Tell me where you want to be." Highlight the gap between their current pain and desired outcome.

Identify the Obstacle: Ask, "What's stopped you from getting to your goal on your own? What else have you tried that didn't work?" Subconsciously points out that DIY methods (books, TikTok, talking to neighbors) aren't working, making therapy the logical next step.

Present the Solution: Provide a brief overview of relevant therapy approaches (e.g., IFS, EMDR). Use the phrasing: "Based on what you've shared, what we typically see is that once clients get started, they begin to feel a noticeable reduction in what they're struggling with and feel more in control of their thoughts and emotions. We usually recommend planning for about 12 weeks of consistent sessions so we can not only reduce symptoms, but also build the skills to handle triggers as they come up and maintain that progress long-term."

Secure Buy-In: Ask the key buy-in question: "Do you think this could help you?" Getting an explicit "yes" secures buy-in organically without making them feel sold to.

The Final 5 Minutes: Logistics & Booking

Match & Schedule: Say, "Perfect, let's get you booked! Based on what you've shared, I have someone in mind who would be a really great fit for you. Most clients start with weekly sessions so they can build momentum and start seeing progress quickly. I recommend we get your first 4-6 sessions booked now so you have that consistency in place. I can take care of that for you."

Insurance Eligibility (For In-Network Providers): Admins must verify the client's insurance eligibility, co-pay, and deductible details before and during treatment to avoid unexpected costs and ensure billing accuracy.

Collect Credit Card Details: Request payment details directly: "The hourly fee is [X]. Let's get your payment for your first session set up now. I'll take your credit card number when you are ready. It will be saved in our system so we have it for all future appointments. This way we don't waste any valuable time during your therapy sessions."

Enforce Policy: Clearly outline the cancellation rules: "Our cancellation policy is 48 hours notice or there is a full session fee charge, just an FYI." Upfront collection and clear rules weed out uncommitted leads and prevent high first-session no-shows.

Post-Call Admin Tasks

  • Forms: Send the intake and consent forms directly from the scheduling software (e.g., Jane app) to the client's email, instructing them to complete it prior to their first session.

  • CRM Status Update: When the person becomes a paying client, drag their lead into the Won box at the bottom of the Client Journey board. This marks the lead Won. Marking the consult appointment Showed only records attendance; it does not record that they became a client.

  • If they need time to decide: After the call, mark the appointment Showed. ClinicMonk™ moves the lead to Did Not Convert on Consult Call automatically and starts the post-consult follow-up. You do not need to drag the lead to a different stage to trigger it. When they become a paying client, mark the lead Won.

Team Training & Call Monitoring

  • Customization & Roleplay: Have admins adapt the script to fit their authentic tone while retaining high-converting language. Record roleplay training to scale onboarding for new hires.

  • Script Compliance: Treat the script as the benchmark—if conversion rates drop, return to script adherence and retraining immediately.

  • Privacy-Compliant Coaching: Due to client privacy, avoid full call recordings. Trainers can evaluate adherence by listening only to the admin's side of the telephone conversation.
