The Therapist Specialty Sheet is an internal reference tool designed specifically to help administrative staff quickly and accurately match incoming clients to the most appropriate therapist during consultation calls.

Why This Tool Matters:

  • Empowers Admin-Led Matching: The 20-minute consult call is designed to transition a prospect from discussing their pain to booking their first appointment. Having a single reference sheet gives admins immediate confidence to recommend a clinician who fits the client's clinical needs, schedule, and financial preferences.

  • Keeps the Focus on Outcomes: Effective consult calls focus on transformation—"selling the vacation, not the plane." Prospective clients care about feeling better and reaching their goals, not getting bogged down in complex clinical jargon. The specialty sheet provides just enough high-level information so the admin can make an accurate, compelling referral without overwhelming the client.

  • Streamlines the Booking Process: Admins can keep this sheet open alongside their scheduling software (e.g., Jane app) to cross-reference clinician profiles while simultaneously checking live calendar availability and booking sessions.

How to Create and Structure the Sheet

Format & Organization:

  • Alphabetical Order: List all team members alphabetically by full name so admins can navigate the document instantly during live phone calls.

  • Point-Form Formatting: Avoid dense paragraphs. Use concise, bulleted lists so the admin can scan for relevant keywords in seconds while engaging in active conversation.

Core Data Fields to Include:

Set up a standardized template for every clinician containing the following key fields:

  • Therapist Name & Credentials: List their formal title (e.g., Registered Psychotherapist, Psychologist, Pre-Licensed/Qualifying).

  • Session Rates: Provide exact pricing aligned with their credentials.

  • Presenting Issues & Client Focus: Outline specific concerns they treat (e.g., anxiety, trauma, couples, burnout, OCD).

  • Interventions & Modalities: Summarize main approaches used (e.g., EMDR, IFS, CBT, DBT).

  • Insurance Coverage Details: Specify which insurance types or third-party benefit plans cover their services.

  • Format & Location Details: Clearly indicate virtual vs. in-person availability, including specific office locations or designated online days for hybrid practices.

  • Relational Style / Personality Profile (Advanced): Add brief descriptions of their interpersonal tone (e.g., "direct," "calm," "grounded," "soft-spoken," "warm"). Matching client personalities to a therapist's style increases client buy-in and long-term retention.

How to Build It Fast Using AI

Building this document manually can take significant time, but you can automate its creation using generative AI (such as ChatGPT):

  1. Gather Bios: Copy the text or links from all therapist bio pages on your website.

  2. Prompt the AI: Input the required structure (Name, Credentials, Rates, Issues, Modalities, Coverage, Location, Style) into the AI tool.

  3. Generate: Ask the AI to extract the data from the bios and format it into a clean, point-form specialty sheet in under a minute.
