Before sharing your booking page, add a friendly face and check that the wording and available times match your practice.
Open your calendar
Go to Settings → Calendars and click the pencil icon beside your existing consult calendar. If you have several calendars, make sure you’re editing the one connected to your website.
1. Add a photo
Under Basic details, use the Calendar logo image field to add a clear photo of the person taking your consult calls. Although the field says “logo,” you can use their photo here.
This helps people know who they’ll be speaking with before they book.
2. Update the title and welcome message
In Basic details, review:
Calendar name: Keep “Free 20-Minute Consult” or change it to match what you offer. If you change the length, update the actual appointment duration too.
Description: Personalize the message beginning “Taking the first step can feel overwhelming.” Explain who they’ll speak with and what to expect.
Meeting invite title: Check that this also matches your consult.
Make sure your intake coordinator’s name appears correctly on the booking page. If it’s blank or incorrect, ask support to help.
3. Set your availability
Open Availability, then select the person taking the calls.
Click Edit to update their weekly hours. Use Date-specific hours for holidays, days off, or special hours. These replace the regular hours for that date.
If the schedule is shared across calendars, changes can affect all of them. Choose Customize schedule for this calendar only when the change should apply just to this calendar.
4. Check the time zone
Check the time zone in the availability schedule before saving your hours.
Your booking page may display times in the visitor’s time zone. If you’re booking on someone’s behalf, always check the time zone shown before confirming.
Changing the time zone you use to view appointments does not change your booking availability or reminder settings.
For more help, see Time Zones for Consult Calls You Book for a Client.
5. Save and check your booking page
Save your changes, then open your public booking page. Check the photo, title, description, available times, and time zone.
Common questions
Why are some appointment times missing?
Check your weekly hours, date-specific hours, assigned staff, and connected calendars. An event marked “Busy,” appointment length, or buffer time can block a slot.
Why isn’t the calendar loading on my website?
Share your booking-page link and a screenshot in the 24/7 chat widget in ClinicMonk™ so our support team can check it.
Can I replace my calendar or switch to one with multiple coordinators?
Ask support to help first. Your booking links, reminders, and lead tracking need to use the same calendar. Creating a replacement calendar does not automatically update those connections.
