Getting started
Do I need a new phone number to use ClinicMonk™?
You choose and purchase a local ClinicMonk™ number with us on your first onboarding call, even if you plan to move your existing number later. We confirm the monthly cost and your preferred area code before purchase.
You have three choices: 1) keep your current phone provider and forward calls from your ClinicMonk™ number to your existing number, with the ClinicMonk™ number shown publicly everywhere; 2) move your existing business number into ClinicMonk™, so your old number becomes your ClinicMonk™ number (this is called porting); or 3) leave your current provider and switch completely to a new ClinicMonk™ number, which you then update everywhere your old number appears.
What is my ClinicMonk™ number used for?
Your number handles calls and, once texting is approved and tested, two-way texts, automatic messages and missed-call text-back. We help you choose where calls ring and who responds.
If you keep a separate existing number, calls made directly to that number bypass ClinicMonk™. Use the agreed ClinicMonk™ number on your website and marketing once our team confirms it is ready.
How do I get my number and complete verification?
We choose the number together on your first onboarding call and guide you through any identity, selfie or email verification shown for your account. You complete those steps yourself.
Our team submits the remaining business-texting registration once your verification and required business details are complete. Porting an existing number is a separate process.
Making and answering calls
Can I use ClinicMonk™ on my computer, in the mobile app, or on a regular phone?
Yes. On a computer, open ClinicMonk™ in your browser or the desktop app if installed. On your phone, use the supported mobile app, or have calls ring through to your regular phone number without using an app. Where incoming calls ring is controlled by your calling settings, not simply by which device you sign into.
To choose where calls ring, an admin can open ClinicMonk™ on a computer and go to Settings → Users → select the person answering calls → Call & voicemail. Some accounts label Users as My Staff.
Computer: Under Forward Calls to, select Web App. Sign into ClinicMonk™ on your computer and allow microphone access. Test an incoming and outgoing call before relying on it.
Mobile app: Under Forward Calls to, select Mobile App. Sign into the supported app with your own ClinicMonk™ team login and allow microphone access, notifications and background calling when prompted.
Regular phone, no app: In that user’s User info, enter the working cell or office number in Phone. Return to Call & voicemail and select My Phone Number under Forward Calls to. Calls routed to this user can then ring their regular phone; they answer it like a normal call, without opening ClinicMonk™. Follow any prompt to press a key to accept the call.
For calls through the Press 1 / Press 2 phone menu, also set Default Channel for IVR to the same choice: Web App, Mobile App or My Phone Number. If your setup rings several teammates, check Default Channel for Ring All too. To switch the phone-menu destination later, change that setting and save; opening a different app alone does not switch it.
Have our team confirm that the phone menu routes to the intended person or external number, then save and test both menu choices, voicemail and an unanswered call. Forwarding does not move texts to your phone’s regular messaging app, and calling back from your regular phone dialer may show your personal number. Use ClinicMonk™ calling when you want the clinic’s configured number shown.
How do the phone menu and missed-call messages work?
The phone menu separates new inquiries from current clients: Press 1 for New Inquiry and Press 2 for Current Client. Choosing a menu option does not mean a person has answered the call.
Current-client calls should not create new leads. If their call is missed, they receive a different message without the free-consult booking link.

Texting and follow-up
What if I do not want to use texting?
You don’t need to use texting in ClinicMonk™. If you choose not to, you won’t have missed-call text-back or text follow-up, so follow-up with leads goes by email only.
What is texting verification, and how long does it take?
Business texting requires carrier approval, often called A2P registration. It usually takes 7–14 days; the carrier controls the timing, and approval is followed by testing before we confirm texting is ready.
We may need business details and updates to your website’s consent wording or privacy and terms pages. We’ll tell you what is needed for your setup.
You cannot use ClinicMonk™ texting before the required approval and testing are complete. Other setup work can usually continue while texting registration is being processed.
Where do incoming texts go?
Texts to your active, approved ClinicMonk™ number appear in Conversations, where your team can reply using the configured texting number. They do not come from your personal cell number.
Forwarding voice calls does not move text conversations into Spruce, Google Voice or your phone’s regular messaging app. Decide who monitors Conversations and confirm their notifications.
Your existing number and porting
Can we keep Spruce, Google Voice or our current phone service?
You can keep your existing service and use a separate ClinicMonk™ number for inquiries. Calls from the ClinicMonk™ number can forward to the existing line when configured; calls directly to that separate old number bypass ClinicMonk™.
If you port your number instead, do not assume your old app, team messaging or other provider features transfer with it. Tell us which features you need so we can confirm your plan before the move.
How will we answer calls after porting our number?
Porting keeps your number but moves its phone service into ClinicMonk™. Your old provider’s app does not automatically stay connected to that number.
Before the transfer, we’ll confirm who answers, which browser, supported app or forwarded phone they use, and where unanswered calls and voicemail go. Test the chosen setup with each person who answers calls.
Will old messages, recordings and voicemail transfer?
No. Porting moves the number, not the old provider’s message history, recordings or voicemail. Ask your current provider how to retain records you need before closing that service.
Keep the old service active until our team confirms the transfer and has tested incoming and outgoing calls, voicemail, and sending and receiving texts.
Where can I learn about porting or get help choosing?
Read What you need to know when porting your phone number for the request form, required details, timing and possible texting interruptions. Porting usually takes 2–4 weeks once the required documents are complete; the carrier confirms timing, and there is no guaranteed texting-downtime window.
For help choosing the setup, use Live Chat Support inside ClinicMonk™ and tell us which phone system your team currently uses. You can ask porting questions in the chat at any time, including after your onboarding calls. Office hours are Monday to Friday at noon Eastern.
Fees and wallet charges
Are phone and text charges included in my subscription?
Phone and text usage charges come from your ClinicMonk™ wallet, separate from your subscription. Review the ClinicMonk™ Tech Fees article for registration, number and usage charges, and ask before enabling optional paid features.
The default wallet auto recharge is set to $10, so funds are added in small amounts as needed to help avoid large, unexpected top-up charges. Your Wallet: Balance, Recharge, and Transaction History explains how to review charges.
