This article explains the Nurture Email Sequence — the year-long series of emails ClinicMonk™ sends to a contact once they've been tagged for nurture. It covers who gets these emails, what arrives when, and where to check what's been sent.

What starts it

The sequence starts when the tag nurture is added to a contact. A tag is a label you can attach to a contact record to group or track them.

The tag is the only entry point. Nothing else starts this sequence, and it starts once per contact each time the tag is newly added.

Who gets which emails

As soon as a contact is tagged, ClinicMonk™ checks whether they're a lead or a client. Someone is a lead before they become a client. There are two versions of the sequence, and this check decides which one the contact receives.

Both versions cover the same twelve topics in the same order, on the same 30-day spacing. The difference is the content:

  • Lead emails end with an invitation to book a free 20-minute consult using your booking link.

  • Client emails are the same topics leaving the booking invitation out.

What happens on the lead path

  1. The contact is tagged nurture and ClinicMonk™ identifies them as a lead.

  2. ClinicMonk™ waits 30 days.

  3. Before sending, it checks whether the contact is still a lead. If they are, it sends the lead version of email 1.

  4. It waits another 30 days, checks again, and sends email 2.

  5. This repeats through all twelve emails — check, send, wait 30 days.

  6. After email 12, the sequence ends and the contact receives nothing further from it.

If the contact becomes a client partway through, the check catches it at the next email. Rather than starting over or dropping out, they move across to the client version of the sequence at the equivalent point and carry on from there at the same 30-day spacing. Someone who becomes a client after email 4, for example, picks up the client version at email 5.

What happens on the client path

The client path is the same sequence without the repeated checks:

  1. The contact is tagged nurture and ClinicMonk™ identifies them as a client.

  2. ClinicMonk™ waits 30 days, then sends client email 1.

  3. It waits 30 days and sends the next email, and so on through all twelve.

  4. After email 12, the sequence ends.

Contact type is checked once, at the start. A contact on this path stays on it.

The twelve emails

Email 1 arrives 30 days after the tag is added, and each one after it 30 days later, so the twelfth lands roughly twelve months in.

Every email opens with the contact's first name and is signed off with your clinic's name.

What the clinic receives

Nothing. The Nurture Email Sequence sends only to the contact — there's no notification to you or your administrator when an email goes out.

What it doesn't do

Worth knowing, because it explains behavior that can look like a fault:

  • It doesn't stop when someone replies. A reply to a nurture email lands in your conversations like any other message, but the sequence carries on to the next email 30 days later.

  • It doesn't stop when someone books. Booking a consult doesn't end the sequence. If the booking moves them from lead to client, the next check moves them to the client version rather than stopping them.

  • It doesn't send anything in the first 30 days. There's a full month between tagging and the first email.

Where to check it worked

Open the contact from Contacts in the left sidebar. The nurture tag shows on their record, and each email ClinicMonk™ has sent them appears in their conversation history with the date it went out. That history is the reliable way to see where a contact has reached in the sequence.

A note on changing it

You can edit your nurture emails to match your practice. ClinicMonk™ Support approval is not required. Open Automation → Workflows, find the nurture sequence, and open the Email step you want to change. Update the wording and images, preserve your booking links and contact or clinic fields, then save the step and workflow. Send yourself a test and check the links. If the email has both a lead and client version, update each version as needed. The sequence described above uses the default order and 30-day spacing; changing the email wording does not require changing those settings.
