This document includes setup instructions for your web developer, followed by testing steps for you to complete as the clinic owner.

Share the first section with your web developer. Once they confirm the setup is complete, use the second section to test everything yourself.

For Your Web Developer: Complete the Setup

1. Connect the contact form

Replace the clinic’s existing website contact form with its ClinicMonk™ form using the embed code provided by the clinic.

If you have been given access to the clinic’s ClinicMonk™ account, follow these steps to copy the embed code:

  1. Sign in to ClinicMonk™.

  2. Click Funnels and Forms in the left sidebar.

  3. Click Forms.

  4. Select the Contact Form.

  5. Click Integrate, at the top right.

  6. Embed Code should already be selected. If it isn't, select it.

  7. Click Copy embed code.

The code is now on your clipboard. Paste it directly into the clinic’s website where the existing contact form is located.

2. Update the booking buttons

Update all “Book a Free Consult” buttons using the clinic’s ClinicMonk™ booking link.

The clinic’s consult calendar is located at: connect.yourclinicdomain.com/consult-booking-calendar

Replace yourclinicdomain.com with the clinic’s own domain — the same domain used for its website. For example, a clinic at brightpaththerapy.com would send visitors to connect.brightpaththerapy.com/consult-booking-calendar.

This is an ordinary web address, so it works anywhere a link can be added: a button on the clinic’s website, its email signature, Psychology Today profile, Google Business profile, or Instagram bio. Every booking arrives the same way, regardless of where the link was clicked.

3. Add the website tracking code

Add the clinic’s ClinicMonk™ website tracking code to its website. This helps track website activity.

If you don’t have access to the clinic’s ClinicMonk™ account, ask the Clinic to provide their External Tracking Script. If you have been given access to the clinic’s ClinicMonk™ account, follow these steps to copy the External Tracking Script:

  1. Open Settings: Log in to the clinic’s account, look at the main navigation menu on the far left, scroll to the bottom, and click Settings (gear icon).

  2. Select External Tracking: In the left sub-menu under Other Settings, scroll down and click on External Tracking.

  3. Copy the Code: On the Installation tab, locate the External Tracking Script Installation section and click the Copy Script button underneath the code box.

Next Steps: Paste the copied snippet into every page of the clinic’s website just before the closing tag.

4. Add a UTM persistence code

Make sure UTM tracking parameters (such as utm_source, utm_medium, utm_campaign, etc.) persist as visitors navigate through the clinic’s website and click over to its ClinicMonk™ booking pages. Because ClinicMonk™ booking calendars live on a subdomain (e.g., connect.yourclinicdomain.com), keeping these parameters intact ensures full ad and campaign attribution when an inquiry converts.

Technical Context:

  • Objective: Capture URL tracking parameters on entry, persist them across internal page navigation, and append them to outbound links pointing to the ClinicMonk™ booking domain.

  • Implementation Options & Examples:

    • Google Tag Manager (Recommended): Use community templates like Simo Ahava's Persist Campaign Data Tag Template to store UTMs in cookies or browser storage without writing custom scripts from scratch.

    • Native Analytics Setup: If the clinic tracks through GA4, configure the built-in Google Analytics Cross-Domain Measurement feature directly within the GA admin settings.

    • Custom Scripting Example: If you prefer custom JavaScript, refer to open-source examples like this UTM Parameter Link Decorator Gist to automatically decorate outbound links targeting the clinic’s booking subdomain.

5. Update the clinic’s phone number (if applicable)

If the clinic is using a new ClinicMonk™ phone number instead of porting its current number, replace the current phone number everywhere it appears on the website.

Note for the clinic owner: To use Missed Call Text Back, you must publicly share your ClinicMonk™ number. You can either port your existing phone number to ClinicMonk™ or use the ClinicMonk™ number provided to you. If you are not porting your current number, make sure the ClinicMonk™ number is used across your website.

For the Clinic Owner: Test the Setup

Once your web developer confirms that the setup is complete, use the steps below to make sure everything is working correctly.

Check it works

Do this once, after the button goes live. A test booking is a real booking — it creates a real lead and sends real messages — so use your own name, email address and mobile number, and the messages come to you instead of to a stranger.

  • Open the address in a private or incognito browser window. The calendar should load and show your available times. If nothing loads, the address is wrong or the button hasn't been published yet.

  • Check that the times offered are correct and displayed in the correct timezone.

  • Go to your website and click the button. It should lead to that same calendar.

  • Book a consult using your own details.

  • Check you receive the confirmation text and the confirmation email, subject “Your consult call is confirmed.”

  • Check that the clinic administrator receives the email with the subject “New Consultation Appointment Booked”, and that the link inside it opens your appointments list.

  • Open ClinicMonk™ and go to the pipeline. Confirm the lead is sitting in Consult Booked.

When you're done, mark the test appointment No Show. That clears it out of Consult Booked, and it lets you watch the follow-up start — which is worth seeing once, because it's the half of the feature that only runs when someone marks the outcome.

Once you've seen it, you can set the test lead's status to Lost so it isn't sitting on your board.

Before you finish

Test the contact form and booking buttons, and ask your web developer to confirm that both tracking codes are installed.
