How Does ClinicMonk™ Work Alongside My EHR?

N
Written by Nicole McCance

Keep your EHR. Let ClinicMonk™ handle your leads.

You don’t need to replace your EHR, such as Jane App. Your EHR (electronic health record) is where you manage client care. ClinicMonk™ handles leads, the people who are considering becoming clients.

ClinicMonk™ is your conversion engine. It helps your team follow up, organize leads, and guide people toward booking care in your EHR.

What goes where?

ClinicMonk™

New leads, lead follow-up, consult-call bookings, your visual pipeline, and dashboards.

Your EHR

Therapy appointments, clinical notes, client intake paperwork, billing, and ongoing care.

New lead → Follow-up in ClinicMonk™ → Consult → Your team books care in your EHR

How the handoff works

  1. Someone reaches out to your practice. Keep that lead in ClinicMonk™ so your team can follow up in one place.

  2. Your intake coordinator responds, answers their questions, and books their consult through your ClinicMonk™ calendar.

  3. Once the lead converts into a client, your intake coordinator books their therapy appointments in your EHR, such as Jane. The EHR then takes over client care.

Does ClinicMonk™ automatically move people into my EHR?

No. Your intake coordinator books the appointments directly in your EHR during the consult call.

Nicole recommends booking 4–6 appointments during that call. This is a manual handoff, rather than ClinicMonk™ automatically creating an EHR client record or syncing clinical information.

Do we need to maintain two therapy calendars?

Your therapy schedule stays in your EHR. ClinicMonk™ gives your intake coordinator a dedicated consult calendar so every consult is tracked in your visual pipeline and dashboards.

Put that calendar’s booking link on your website. When someone books a consult through that link, the lead goes into ClinicMonk™ and receives your prewritten consult texts and emails.

Your intake coordinator can also have a two-way text conversation with the lead in ClinicMonk™. If a lead calls your ClinicMonk™ number and the call is missed, they receive your missed-call text back.

What if someone has already booked in Jane or another EHR?

They are already booked for care, so they do not need to be treated as a new lead waiting to book a consult.

For accurate numbers, use the Client Capture Form to track them in ClinicMonk™. The form adds them as a client so your dashboards are up to date.

Use the Lead Capture Form for a new inquiry that still needs to book. Use the Client Capture Form for someone who is already a client.
