Your voicemail greeting is the message callers hear when nobody answers. It is separate from the “Press 1 / Press 2” greeting at the start of a phone-tree call.
Before you start
Have your new greeting ready as an MP3 or WAV file. You can record a short, clear message in a quiet room. Use your practice name and tell callers what to do next.
Change the greeting for the person answering calls
Open ClinicMonk™ on your computer.
Go to Settings → Users. Some accounts call this My Staff.
Select the person who receives the calls, then open Call & voicemail.
Find Voicemail Messages and click Upload mp3/wav File. Choose your new recording.
Save the change.
If you have a phone tree
Confirm which voicemail your unanswered calls actually reach by making a test call. Follow the steps under “Check what callers hear” below. A phone tree may use a separate voicemail step, and a call forwarded to another phone may reach that phone’s voicemail instead. Uploading a greeting here does not add a missing voicemail route or change the opening phone-menu greeting.
Check what callers hear
Call your ClinicMonk™ number from a separate phone that is not a forwarding destination. Leave the call unanswered, listen to the greeting, and leave a short test message. Confirm your team can find and play it. If you have a phone tree, test Press 1 and Press 2 separately.
If the old greeting plays, confirm you uploaded the recording to the person who receives that menu option’s calls and saved it. If calls forward to another phone, check whether its own voicemail is answering. If the call disconnects before a greeting plays, the test has not confirmed a working voicemail path; replacing the recording alone will not fix a missing voicemail route. Leave ring-time and routing settings unchanged while replacing the recording.
Sample greeting
“Thank you for calling [practice name]. We’re unable to answer right now. Please leave your name, phone number and a brief message, and our team will return your call.”
