How do I change my greeting in ClinicMonk™ if I have a phone tree?

Update the opening Press 1 / Press 2 message with a recorded greeting or computer-generated voice.

Your phone-tree greeting is the opening message that asks callers to press 1 for a new inquiry or 2 if they are a current client. It is separate from the voicemail message they may hear when nobody answers.

Is there a default phone-tree greeting?

Yes. The standard ClinicMonk™ phone-tree setup includes an opening greeting:

“Thanks for calling, [account name]. Press 1 if you have a new inquiry. Press 2 if you’re a current client.”

The account-name field personalizes the greeting with the name saved in your account. Your wording may be different if the greeting was customized during setup.

To check your exact greeting, open the existing phone-tree workflow and select Gather input on call → Say or Play Message. If it uses Say a message, read Text to Say. If it uses a recording, listen to that recording. Then call your ClinicMonk™ number from a separate phone to hear the greeting callers actually receive.

Find the opening message

  1. Open ClinicMonk™ on your computer and go to Automation → Workflows.

  2. Find your existing phone-tree workflow. In the standard ClinicMonk™ setup, it is called Missed Call Text Back.

  3. Open it and find Gather input on call near the top. In some accounts, the step name starts with a number, such as #2.

  4. Click that step and find Say or Play Message.

Choose how your greeting sounds

To use a computer-generated voice, choose Say a message and edit Text to Say. Check the language and voice shown.

To use your own voice, choose the option to play a recorded message and upload your greeting using the file types accepted on screen. Keep the recording clear and free of background noise.

Keep the menu instructions

Your greeting must match the existing menu: Press 1 for a new inquiry and Press 2 for a current client. Changing the spoken words does not change what each key does.

Sample greeting

“Thank you for calling [practice name]. If you’re reaching out about starting therapy, please press 1. If you’re a current client, please press 2.”

Save and check the result

  1. Save the action, then save the workflow. Keep its existing publication setting. A workflow in Draft does not handle live calls. Confirm you are editing the workflow used by your phone number before changing its publication setting.

  2. Call your ClinicMonk™ number from a separate phone that is not a forwarding destination.

  3. Listen to the full greeting and test Press 1 and Press 2 on separate calls. Confirm each choice reaches the intended person.

  4. Make an unanswered test call as well. Listen to the greeting that plays, leave a short test message, and check where the message appears in ClinicMonk™. Repeat for each menu option to confirm which voicemail unanswered calls actually reach.

Changing this greeting does not change where calls ring or add voicemail. Leave the menu branches, call destinations, wait times and lead actions unchanged when updating only the greeting.
